In collaboration with OLYMP car-detailing and the lead agency VOK DAMS, GuestONE took over test drive management for the Volkswagen Group Forum in Leipzig. During the four-day back-to-back event, around 1,000 major international customers were able to experience the entire range of vehicles in the Group’s portfolio in action.
GuestONE provided a test drive management system that electronically documented all test drives. At the starting point and at a total of three changeover points, test drivers and vehicles were scanned using mobile devices configured with an app specially developed by GuestONE, and the data was automatically transferred to a web platform. The platform thus provided a real-time overview of all vehicles on the route. For each test day, defined reports and logbooks were also available for download as files afterwards.
The test drive management system is a 100% in-house development by GuestONE. In addition to the pure recording and documentation of test drives, the system also supports logic regarding the vehicles to be driven in defined groups or sequences. Around 80 vehicles were used at the Group Forum, but in the past, projects with more than 300 vehicles have also been implemented for various manufacturers.
Service and Product Days
Four parallel tours, eight cities in Germany between August and October, over 5,000 participants, and around 8,000 test drives—these are the key figures for Volkswagen’s 2018 Service and Product Days. GuestONE supported the events on behalf of the Munich-based agency Lux-Service, where salespeople and service advisors were trained on new products at VW’s own training centers.
After designing and pre-producing name tags and lanyards in the event layout, GuestONE set up a web-based accreditation solution for quick check-in of participants. Instead of pre-producing the name badges and laying them out on site, the badges were produced at the touch of a button as soon as the guest arrived and the guests were checked in.
The GuestONE test drive management system was then also used. Using smartphones and a specially configured app, the daily test drives were recorded and documented by scanning vehicles and drivers. Thanks to well-thought-out processes and intuitive systems, all the technology could be operated on site by hostesses. GuestONE was only on site for the first three days of the event at each stop, configuring and setting up the systems and training the on-site staff accordingly.
GEC
Together with the lead agency “Eventives” from Braunschweig, GuestONE worked for Volkswagen AG in September 2017. GuestONE took over the entire participant management for the “Group Environmental Conference,” a two-day environmental conference that took place at the Mobile Campus in Wolfsburg.
GuestONE provided a bilingual online portal in the corporate design of Volkswagen AG for the registration of around 500 international guests from all Group brands. In addition to participation and personal data, hotel and travel details as well as participation in various event sections and workshops were requested and managed.
Electronic tickets with QR codes, which were automatically sent out after registration, then enabled smooth accreditation of participants on site – including name badge printing in a matter of seconds.
