As much as necessary, but no function too much: If you are busy preparing your event, you need a targeted solution. Here you will find brief explanations of the individual modules:

New events can be created quickly and easily, and existing events can be copied and edited at the touch of a button.

Simple creation and management of activities and supporting programs incl. Contingents. Various booking options available for main and accompanying person.

System users with graduated authorizations can be created independently in the integrated user and rights management. Graduated authorizations (roles) can be assigned. These roles are assigned per user and per event.

Graphic templates in your company’s corporate design are stored in the system for the online registration pages and can be selected for each event at the click of a mouse.

eventry is set up under a customer-specific domain and can therefore be accessed via any current Internet browser. No installations or integrations are necessary.

The online registration is available in German and English as standard. Text and content can be maintained independently via intuitive user interfaces.

Interactive selection of the desired data fields and queries for each event. Different fields for rejection, mandatory fields and fields that can be edited by the guest can be defined “by click”.

Participant data is easily added to the event via Excel upload and can then be edited via the admin area.

Traceable mail dispatch directly from the tool. Mail templates in the customer’s corporate design are stored and can be selected for each event. The PDF module can also be used to provide personalized participant documents at the touch of a button.

Integrated trip management – trip types and routes incl. corresponding quotas can be created and managed.

Intelligent hotel management – hotels, room types and daily allotments can be created and managed. Hotel allocation is either on a guest or group basis.

Electronic registration of guests on site. Participant search via QR code scan or name search. Print name badges or personalized participant documents directly from the system.

The dashboard provides you with an overview of various figures relating to your event. Here you can get a quick overview of the registration status, quota utilization, e-mails sent, etc. The dashboard is the first thing you see when you log in or activate another event.

With the optionally integrated picture gallery, your event will also have an impact after the event. Fast configuration, easy image upload – immediately after the event your gallery is online. Optionally with or without login.

Creation and evaluation of individual online surveys after an event. The survey can be anonymous or personalized. Evaluations are available as a PDF report.

At eventry, we rely on a flexible and simple payment model for good reason. From practical experience, we know how diverse events can be in terms of size and frequency. That’s why you can use our attendee management software with an advantageous licensing model – and without user restrictions. Instead of monthly fixed costs or fees per user, we work with a uniform event flat rate, which already includes our support. Added to this are the operating costs for ongoing administration, domain and SSL certificate as well as hosting in a German data center.

Data protection at eventry

Safety is a top priority for us. Since customer data is sensitive, maximum security must be ensured in digital subscriber management. Therefore, every GuestHub installation runs secured on a Guest-One server in one of the largest data centers in Germany and thus fulfills the requirements of the DSGVO. By the way: Your data will not be kept permanently, but imported per event and deleted after the event. You alone decide which data is collected by simply configuring the registration form.

Frequently asked questions

Good attendee management software is web-based, has a wide range of functions and ideally has a modular structure. No two events are the same, so the software should be able to be configured according to the event or the respective requirements.

In principle, (almost) all event formats can be implemented with Eventry. The only condition is that they must be free of charge for participants, as Eventry does not process payments.

With Eventry, there is no fundamental limit to the number of participants, so larger events can also be realized with Eventry.

Eventry has a very extensive range of functions and therefore differs from many competitors. Furthermore, any number of users can work in the system on a company license. There are no restrictions on how many accesses a customer has.

We install Eventry updates in all systems 2-3 times a year. These updates, some of which also contain new functions and improvements, are free of charge. Due to the rapidly changing web technology and dynamic security requirements, it is necessary to upgrade to a technically up-to-date version every 4 to 5 years. These upgrades are charged to the customer.

We need approx. 6 to 8 weeks to implement a new customized eventry system from the time the order is placed.

Training is necessary and the costs for this are already included in the initial license costs. If desired, the training can also be split and new employees can be trained at any time for a fee.

For very short-term projects or projects that are foreseeably only carried out once, implementation with GuestHub is faster and more flexible. Even if no resources are available on the customer side, the use of GuestHub in conjunction with full service can make more sense.
