Festakt Pipeline Eröffnung „GWL-Zukunftsleitung“

Mit über 9.500 Mitarbeitenden und rund 6,1 Milliarden Euro Umsatz gehört die EWE AG zu den großen Unternehmen in der Energiewelt Deutschlands. Der Konzern befindet sich überwiegend in kommunaler Hand und hat seinem Hauptsitz im niedersächsischen Oldenburg. Allein im Stromsegment werden rund eine Million Haushalte mit Energie beliefert.
Projekt:
Im Auftrag der Agenturgruppe DAILY BREAD Communications übernahm Guest-One das Teilnehmermanagement zum Festakt zur Eröffnung der „GWL-Zukunftsleitung“. Die „GWL-Zukunftsleitung“ ist eine 70 Kilometer lange Pipeline, die das derzeit in Wilhelmshaven entstehende LNG-Terminal mit verschiedenen Speichern in Norddeutschland verbindet. Von dort werden dann rund 4 Millionen Haushalte über weiterführende Netze mit Gas versorgt. Die Eröffnung wurde am 18.März mit einem Festakt mit Ministerpräsident Stephan Weil gebührend gefeiert.
Umsetzung:
Für die Anmeldung der Gäste und die für eine Sicherheitsüberprüfung notwendige Datenerfassung, richtete Guest-One ein responsives Anmeldeportal im Corporate Design des Kunden ein. Nach Übernahme der Gästelisten erfolgte ein digitaler Einladungsversand per E-Mail mit persönlichen Zugangsdaten für jeden Gast. Die Onlineanmeldung stellte verschiedene Anmeldeoptionen für unterschiedliche Event-Teile bereit und sorgte für eine strukturierte Erfassung der notwendigen Gastdaten. Diese wurden aufgrund der Sicherheitsanforderungen der Veranstaltung vorab an das zuständige LKA zur Prüfung übermittelt.
Nach Freigabe der Behörden erhielten die Gäste dann eine Bestätigungsmail inklusive Tickets und weiteren Informationen zur Veranstaltung. Guest-One übernahm auch die vor Ort Akkreditierung der Gäste und lieferte dazu die entsprechenden Checkin-Stationen und Namensschilder. Zwei Guestmanager übernahmen den Aufbau und die Einweisung der zusätzlichen Hostessen und koordinierten den Checkin beim Festakt und der späteren Abendveranstaltung.

Die Jaguar Land Rover Austria GmbH mit Sitz in Salzburg ist die Importeurs-Organisation für den österreichischen und tschechischen Markt.
Projekt:
Die Agenturgruppe AVANTGARDE mit den verschiedenen Standorten und Guest-One arbeiten seit vielen Jahren erfolgreich zusammen. Erstmals wurde nun mit der Wiener Dependance ein Projekt umgesetzt – das Jaguar Land Rover House of Defender.
Umsetzung:
Für die zweiwöchige B-to-C Veranstaltung in Wien, bei der den Kunden der neue Land Rover Defender vorgestellt wurde übernahm Guest-One das gesamte Einladungs- und Teilnehmermanagement. Neben den Land Rover Händlern mussten zusätzlich verschiedene Brand-Partner eingebunden werden, die zu den einzelnen Veranstaltungen über eigene Einladungskontingente für Gäste verfügen konnten.
„Herzstück“ war ein umfangreiches Online-Portal, über welches sich die Gäste samt Begleitungen zu den Events anmelden konnten. Für die Händler und Brand-Partner wurde ein sogenannter Koordinatorenbereich aufgesetzt, über welchen die Partner ihre Kontingente selbst verwalten und eigene Gäste einladen konnten. Mit der Anmeldebestätigung erhielten die Gäste ihre personalisierten Tickets per Mail.
Eine vor-Ort Akkreditierung samt schnellem Badgedruck sowie ein Testdrive-Management System bei ausgewählten Veranstaltungen rundeten den Leistungsumfang seitens Guest-One ab.

Im Auftrag der Leadagentur insglück und deren Hamburger Büro übernahmen die Wuppertaler die Verantwortung für das Teilnehmermanagement zum „SAP Customer Success Kick-Off Deutschland 2024“ – kurz CKOM.
Umsetzung:
Mit einem sehr kurzfristigen, aber spannenden Projekt startete Guest-One in das Event-Jahr 2024.
Die zweitägige Konferenz, zu der Mitarbeiter, Kunden und Partner eingeladen waren, fand im Januar im World Conference Center in Bonn statt. Noch kurz vor Weihnachten wurde ein entsprechendes Online-Portal für die Anmeldung der Teilnehmer aufgesetzt und die Gäste per E-Mail eingeladen.
Das für mobile Devices optimierte Anmelde-Frontend stellte leicht abweichende Anmeldeoptionen für die verschiedenen Gästekategorien bereit. Im Administrations-Backend wurden neben den Gastdaten sowie den Zu- und Absagen auch Partner-Voucher sowie Hotelkontingente und Buchungen verwaltet.
Für einen schnellen Checkin der Gäste vor Ort wurde mit der Anmeldebestätigung ein eTicket mit
QR-Code an die Gäste versendet. Die Erfassung vor Ort sowie der automatische Druck von umweltfreundlichen Namensschildern erfolgte über Self-Checkin-Terminals der Firma FastLane. Guest-One stellte dazu eine API-Schnittstelle bereit, die für eine reibungslose und automatisierte Datenübertragung an FastLane sorgte.

Der Wuppertaler Handball Erstligist „Bergischer Handball-Club 06“ und die Guest-One GmbH verlängern ihre erfolgreiche Partnerschaft um eine weitere Saison. Seit nunmehr drei Spielzeiten unterstützt die Guest-One GmbH den erfolgreichen Bundesligisten mit Soft- und Hardware sowie begleitenden Services für die Crew- und Media-Akkreditierung bei allen Heimspielen, die aktuell in drei verschiedenen Spielstätten ausgetragen werden.
Umsetzung:
Des Weiteren übernimmt Guest-One das gesamte Teilnehmermanagement für die zweimal jährlich stattfindenden Partner- und Sponsoren Treffen, zu denen immer rund 500 Gäste samt Begleitungen eingeladen werden. Bei diesen Veranstaltungen übernimmt Guest-One das Einladungsmanagement, stellt eine Online Anmelde-Plattform zur Verfügung und betreut die Akkreditierung der Gäste vor Ort – Namensschilder und Lanyards inklusive.

Unter der Marke HYDAC firmieren 15 unabhängige Einzelgesellschaften mit insgesamt rund 9.500 Mitarbeitern.
Projekt:
Ende Juni 2023 fand in der Eventlocation „Alte Schmelz“ in St. Ingbert im Saarland ein großes Mitarbeiterfest statt, zu dem Guest-One das gesamte Teilnehmermanagement beisteuerte. Von den etwa 5.000 per Post und E-Mail eingeladenen Mitarbeitern folgten rund 2.500 dem Link zu einer komfortablen Online-Anmeldung im look and feel des Kunden. Neben dem Mitarbeiter selbst konnten weitere Familienangehörige schnell und unkompliziert online registriert werden und erhielten im Anschluss eine Bestätigung samt personalisierten Eintrittskarten per E-Mail.
Umsetzung:
Vor Ort sorgten zwei Guestmanager von Guest-One für einen schnellen Einlass inklusive Live Badgedruck für alle Besucher. Hierzu wurden nachhaltige Trägerkarten im Veranstaltungsdesign vorproduziert und vor Ort mit personalisierten Labeln beklebt, die beim Eintreffen der Gäste gedruckt wurden. Die passenden Lanyards wurden ebenfalls von Guest-One entworfen und produziert.

Die Ivoclar Vivadent AG mit Sitz in Liechtenstein ist ein international tätiges Unternehmen in der Dentalbranche, das Produkte und Produktsysteme für Zahnärzte und Zahntechniker herstellt und in über 130 Ländern vertreibt.
Projekt:
Im Rahmen des 100-jährigen Firmenjubiläums fand im Juni am Hauptsitz des Unternehmens der Ivoclar Family Day statt. Über 3.000 Mitarbeiter und ihre Familien folgten der Einladung und erlebten einen ereignisreichen Tag mit vielen Attraktionen. Im Rahmen des Familienfestes wurde auch das neue Hauptgebäude eröffnet. Das moderne Verwaltungs-, Besucher- und Ausbildungszentrum umfasst 16.350 Quadratmeter und konnte an diesem Tag erstmals von den Besuchern in Augenschein genommen werden.
Umsetzung:
Für die Anmeldung zur Jubiläumsveranstaltung stellte Guest-One eine zweisprachige Online-Plattform bereit, über welche sich die Mitarbeiter und ihre Familienangehörigen unkompliziert anmelden konnten. Über den ganzen Tag wurden geführte Rundgänge durch das neue Hauptgebäude angeboten, welche ebenfalls über die Onlineanmeldung gebucht werden konnten. Nach der Anmeldung erhielten alle Gäste per E-Mail ihre personalisierten Tickets mit QR-Code.
Mit drei Guest-Managern organisierte Guest-One auch die Akkreditierung vor Ort. An insgesamt drei Eingängen zum Werksgelände wurden die Tickets der Gäste mittels Smartphones erfasst und Einlassbändchen ausgegeben. Gästen ohne Tickets und vor Ort Anmeldungen wurde an entsprechenden Helpdesk-Stationen schnell und einfach geholfen. Der digitale Checkin ermöglichte einen reibungslosen Zutritt von über 3.000 Gästen ohne jegliche Warteschlangen und zudem eine Echtzeit Übersicht über die anwesenden Personen.

Im Auftrag der Leadagentur AVANTGARDE in München übernahm Guest-One das gesamte Teilnehmermanagement zum IQOS Next Level Event. An der als Roadshow umgesetzten Veranstaltungsreihe nahmen insgesamt über 2.000 Gäste in sieben deutschen Städten teil.
Für die Anmeldung der Gäste und deren Begleitungen wurde innerhalb kürzester Zeit eine CI- und DSGVO-konforme Anmeldeplattform bereitgestellt. Die Anmeldung erfolgte in wenigen intuitiven Schritten, die automatisch versendete Anmeldebestätigung enthielt direkt die Tickets für alle angemeldeten Teilnehmer.
Umsetzung:
Damit auch die verschiedenen Gebiets- und Vertriebsleiter von Philip Morris jederzeit über den Anmeldestatus im Bilde waren, wurde zusätzlich ein sogenannter Koordinatorenbereich aufgesetzt. In diesem standen die aktuellen Anmeldezahlen entsprechend der zugeordneten Vertriebsgebiete in Echtzeit zur Verfügung.
Für die Erfassung der Gäste vor Ort richtete Guest-One eine digitale Checkin Applikation ein und stellte die notwendige Hardware für den Ticket-Scan und den Livedruck von Namensschildern zur Verfügung. Die erste Veranstaltung wurde seitens Guest-One auch vor Ort betreut und dabei die Mitarbeiter in die Technik eingewiesen. Die restlichen sechs Veranstaltungsorte übernahm der Kunde dann eigenständig die Betreuung der Checkin-Stationen.

Neben dem digitalen Einladungsmanagement sowie der Akkreditierung der Teilnehmer vor Ort, setzte Guest-One für die Anmeldung der Teilnehmer eine responsive Registrierungs-Plattform im Corporate Design von NTT DATA auf. Die Plattform ermöglichte über personalisierte Logincodes verschiedene Anmelde-Optionen für differenzierte Teilnehmergruppen. Im Backend konnten zudem Hotelkapazitäten und Busrouten für einen Teil der Gäste verwaltet und zugeordnet werden.
Zwei Guest-One Guestmanager sorgten am Veranstaltungstag für den Aufbau von insgesamt 8 Checkin-Stationen mit Scannern und Badgedruckern sowie einen reibungslosen Einlass der Gäste.

Über das Anmeldeportalportal zur Bergischen Expo 2023 werden nicht nur die Anmeldungen durchgeführt und verwaltet, es dient zudem als Informations-Plattform für die Aussteller. Alle wichtigen Dokumente und Formulare stehen auf dem Portal zum Download bereit. Auch die Rechnungsstellung der Ausstellergebühren erfolgt automatisch, Zahlungseingänge werden schnell und einfach im Backend verbucht.
