The foolproof event check-in

Whether it’s a congress, kickoff or roadshow – a regulated check-in is intended to record and document the presence of guests, and name badges are often printed and issued as well. A circumstance that guests unfortunately often find annoying. Because they have to remember to carry the tickets with them, stand in long lines at alphabetically divided counters, and so the stress level slowly but steadily rises. GuestHub offers a flexible alternative with its electronic event check-in module. Your guests will receive e-tickets, wallets or QR codes by mail, which they can either print or save on their cell phones. The access authorization is briefly scanned at our modern counters and a name badge is printed in seconds. Ready. The entrance is done and your guests can look forward to a beautiful event.

Customize the event check-in to your needs

We think the check-in already with the online registration and the following registration confirmation. By seamlessly linking both GuestHub modules, we see in real time, the expected number of participants. Our experts will advise you on this basis with regard to electronic check-in. This includes an assessment of how many stationary terminals you will need to ensure smooth operations. If necessary, we recommend additional mobile devices for check-in. This allows you to react flexibly to bottlenecks and shorten waiting times. In addition, you will accompany our experienced guest manager on site and instruct your own staff or hostesses in the foolproof operation of the terminals.

Consistent overview thanks to electronic check-in

Particularly in the case of different event parts and parallel offers, such as workshops or supporting programs, the organizers are interested in the selection of participants. Here, too, our module offers the right solution. For example, place a stationary terminal or staff with mobile devices at a separate meeting room to rescan guests’ tickets or name badges. This gives you a valid database after the event. Of course, a structured check-out of the guests is also possible on request in order to derive a length of presence of the guests.

Seating, Helpdesk and Co.

The electronic event check-in is part of the GuestHub system. That’s why you benefit from the services of all flanking modules for your event. Your event requires placement of all or defined groups of guests? No problem, via the Seating module you can already assign your guests their seats during registration. The final seat will be assigned and communicated to the guest only at the check-in on site. This allows you to dynamically respond to cancellations or other schedule changes up to the last minute and re-seat guests.

For a flexible helpdesk, all guest data is of course available in the admin area at the push of a button. Name changes, additional accompanying persons or changes in hotel bookings can be made in the system at any time. Would you like SMS or email notification to customer service representatives when certain guests arrive? This is also not a problem!
