In the GuestHub, all relevant information of your guests comes together. In addition to booking and cancelling events and managing and allocating hotel rooms, recording and organizing the arrivals and departures of their guests is often of great importance.
The “Travel Organization” module integrated in GuestHub supports tour operators and travel agencies with flexible and proven procedures and brings together all information centrally in one system.
The possibilities at a glance:
An important part of professional participant management is the administration and organization of arrivals and departures. In the simplest case, only the means of travel of the guests are queried in order to be able to provide sufficient car parking spaces, for example, or to determine the transfer requirements from the train station or airport for shuttle planning.
However, there are also events where the organizer takes care of the entire travel booking process for all participants. There are various options for implementation here, all of which can be easily mapped in GuestHub.
Via the online registration, the travel wishes of the guests can first be queried. Here, certain options can already be stored for individual guest categories, so that, for example, only guests from a certain distance to the event location may choose an airplane, while guests with a shorter journey may only travel by train. Using a separate access, the travel partner can view and edit guest requests and enter appropriately booked trips into GuestHub.
It is also possible to provide the guest with a choice of already booked travel options such as charter or group flights as well as special trains or bus transfers in the registration. Each option can be stored with quotas, fully booked travel options are then no longer available for selection.
Linking travel management with logon data provides real-time transparency and overview. If, for example, a guest for whom a trip has already been booked subsequently cancels, the trip can also be automatically canceled. Clear reporting also helps other trades in planning and organization. For example, there is a separate app for the transfer manager, which clearly lists all arrivals and departures per day and thus enables on-time and individual shuttle planning.
The “Travel Organization” module is also linked to the PDF Lettershop within the GuestHub backend. Personalized travel plans, tickets and other personal documents can be generated at the touch of a button and either sent directly by e-mail or printed out easily. Excel lists and serial letters are now a thing of the past.
A holistic view and implementation of travel management also pays off in terms of sustainability. For example, the organizer ticket of Deutsche Bahn can be easily integrated into the online registration. With the event ticket from Deutsche Bahn, participants travel on local and long-distance trains with 100 percent green electricity and thus CO2-free. This will sustainably reduce the event’s CO2 emissions.
Car pools for the joint use of (company) vehicles can also be easily organized via the participant management. Equally conceivable: we determine the ideal destination on the basis of your guest list and the participants’ places of origin, taking into account the optimal travel routes.
