The agency “bergmanngruppe”, based in Hamburg, specializes in public corporate events.
With a permanent team of around 30 employees, it designs and produces public events for up to 1.5 million visitors, from neighborhood festivals to major international events.
Project:
From 14 June to 14 July 2024, Hamburg was the host city for the UEFA EURO 2024, transforming the Heiligengeistfeld into a large FanZone with a colorful daily cultural and gastronomic program for fans and families. In addition to the FanZone, the area offered space for a large public viewing with a capacity of 40,000 visitors.
Behind the scenes, more than 4,000 employees ensured that everything ran smoothly and a fan festival of superlatives – the organizers counted more than 600,000 visitors over the entire period. Strict security precautions meant that all employees had to be accredited in advance and undergo a background check by the authorities.
Realization
Guest-One set up an online registration portal for the accreditation and set up trade-specific registration links. Each trade manager was then able to send these links to their potential employees, who could then register independently via the portal.
All data was then regularly sent to the police for verification and only set to “approved” in the system once the authorities had given their approval. Only then was a confirmation email sent, including an eTicket with a QR code for quick accreditation on site.
The Guest-One graphics team then took over the design and pre-production of the crew passes. Different color variants with additional markings were required here due to different authorizations. The personalization was created in the check-in module so that the badges could be produced directly from the system at the touch of a button.
Guest-One provided the necessary hardware for on-site use, consisting of check-in stations, scanners and ID card printers, and ensured the installation of the technology and the training of the agency’s staff during the first week. Remote support for the on-site team was then provided for the remaining three weeks of the event.
