The European Exchange (Eurex) is one of the world’s largest derivatives exchanges for financial derivatives (futures and options), which was formed in 1998 from the merger of DTB (Deutsche Terminbörse) and SOFFEX (Swiss Options and Financial Futures Exchange), which is part of SWX Swiss Exchange.
Project:
Live. Digital. Hybrid. Eurex, the world’s largest derivatives exchange, entrusted the guest management of the “Derivatives Forum Frankfurt 2022” congress from May 24 to 25, 2022 to the guest management system provider Guest-One. For the first time, the experts for trading and clearing of derivatives as well as securities financing met within the framework of a hybrid event. The combination of a face-to-face event and an online conference was a premiere for the organizer. Until then, the event had been held exclusively as an on-site event. The only exception was a Corona-related online format last year. The decision to go with a hybrid format presented the organizers with the challenge of balancing both the virtual and physical offerings.
Realization:
In close coordination with Eurex, Guest-One set up a complex system to ensure a smooth meshing of the two event formats. For interested parties this meant: Even a few minutes before the event, registration for the conference was still possible. The organizers’ goal was to make the registration process as user-friendly as possible.
For the organizers, the administration area formed the heart of the G1 system. All threads came together on a web-based platform with graded user rights. A clear dashboard informed about registered participants and provided supplementary information such as master and billing data. The implemented lettershop enabled the personalized dispatch of invitations or confirmations.
Online registration was carried out in Eurex’s corporate design. In addition to numerous queries, interested parties were able to specify here whether they wanted to participate online or in person. Participants could pay by invoice or credit card.
In addition to many other tools and functions, another special feature of the project was the sponsor platform. “For this purpose, we created the possibility in the administration area to create sponsor contact persons with master data and employee quotas,” reports Oliver Maître, Managing Director of Guest-One. This function allowed sponsors to quickly and easily add their own employees to the participant management. A predefined quota nevertheless allowed Eurex to maintain control.
On site in Frankfurt, Guest-One also took care of the accreditation of the participants. For the virtual participants Guest-One relied on a proven partnership. Neumann & Müller, the specialists for event technology, not only have a wealth of experience in the field of hybrid events and ensured ideal conditions. Based on the DLE platform (Digital Live Events), they succeeded in creating a seamless transition between participant management and the streaming platform.
