Guest-One offers an attractive and well thought-out overall solution for cooperatives, associations and clubs that want to hold online meetings or virtual meetings with legally secure digital elections.
Stock corporations, cooperatives, and also many associations and societies are required to hold an annual general meeting or a general or representative meeting. If these cannot be implemented “live” as usual, Guest-One organizes the invitation and participant management, the live streaming of the meeting as well as the legally compliant implementation of online elections.
The features of our virtual assembly:
In response to the Corona measures, the legislature has cleared the way for virtual general meetings without accompanying face-to-face meetings with the “Act to Mitigate the Consequences of COVID-19 in Civil, Insolvency and Criminal Procedure Law”. This law has been extended for another 2021.
Amendments were also made to the Cooperative Societies Act (GenG) and the Reorganisation of Companies Act (UmwG), which, among other things, also open up the possibility of digital decision-making.
After completion of an order data processing according to DSGVO, the member list is transmitted to Guest-One and imported into the system. Each member is assigned an individual and unique login code.
Subsequently, personalized invitations are sent to the members – with a link to the registration and the personal login code for easy and quick registration. The invitation may be sent by post, e-mail or a combination of the two.
The responsive online application then works with defined queries and data fields, – optionally the specification of a representative – as well as the download of documents or powers of attorney and static information pages. Validation of a mobile phone number can also be carried out during registration.
After the successful registration you will receive an automatic confirmation email. Herewith the participant of the virtual meeting receives a streaming link and personal access data with login code. The voting token for online voting will also be sent by email or SMS.
Guest-One creates the ballots in the voting system. The voting system also supports differentiated vote weightings and category-specific ballots. It is also easy to react to last-minute changes and motions at the meeting because the ballots can be edited until they are activated.
On the day of the meeting, participants log into the streaming room where they can watch the virtual meeting. Any requests to speak and questions can be submitted to the meeting via a question chat – participants can also be connected by phone or video chat if they wish. From the streaming room, you can also access the virtual voting booth.
After entering his individual voting token, the participant will be forwarded to the deposited ballot papers. If he has several voting rights, he can either enter several tokens one after the other or receive a corresponding voting weighting. Elections can be held live for each agenda item or en bloc, and upstream electronic elections are also possible.
A project manager from Guest-One takes over the election and question management on site or remotely. Election results will be immediately displayed on the livestream or read out at the meeting.
After the online meeting, all participants will receive a follow up email with all the results of the meeting and the digital elections. Upon request, GUEST ONE can also provide documents, minutes or a recording of the virtual meeting for download.
