Many events also need to organize accommodation for their guests. One possibility is to refer to reserved call-off allotments in the online registration, from which the guest can book himself. However, if the guests are to be distributed to different hotels according to defined criteria, you quickly reach your limits with Excel lists and highlighters. Why is hotel management part of good event management?

Around trade fairs, congresses and conferences, the organization of hotel bookings for your participants is often a logistical challenge. This is especially true for large numbers of participants, where room allotments are distributed among many different hotels. If there are then specifications to consider regarding the distribution of guests among hotels (e.g. markets or regions that need to be accommodated together) and the distribution also needs to be coordinated with event dates and travel times, you quickly reach your limits without a structured process and digital tools. The digital hotel management within GuestHub supports organizers here simply and conveniently.

How does digital hotel management work ?

Like all GuestHub modules, our hotel management is seamlessly coordinated with the other modules and is available in the backend. We first transfer the hotels and room allotments booked by the host into our system, which can then be viewed in real time in corresponding dashboards.

Allocation is then completely digital – the processor filters the guest list according to the respective accommodation requirements and travel dates and then assigns the suitable hotel with just a few mouse clicks. This can be done for individual guests as well as for complete groups of guests. The allotments are updated in real time, double occupancy or overbooking are excluded. The system then provides defined hotel reporting and rooming lists for download. Guests will receive the information about which hotel has been booked for which period easily with their registration confirmation by e-mail.
