Invoice, payment and ticket shipping -

Event formats such as congresses, conferences or trade fairs are usually subject to a charge for participants. Then tickets must be selected and ordered, invoices must be generated and sent, and payment must be processed and posted. Especially when such events take place only once a year or very irregularly, the customer or event organizer lacks the appropriate processes and often also the human resources to efficiently implement the tasks involved in-house. GuestONE also helps here with a fully comprehensive service.

Participant management
vs. ticketing

There are many classic ticketing systems on the market. The process that these systems map is usually identical – one or more tickets are selected, placed in a shopping cart, and then purchased. Payment can be made by invoice, credit card or PayPal, after which the customer receives his tickets by mail or as a “print at home” variant.

GuestONE’s services go far beyond these functionalities. We fully integrate ticket purchasing into our attendee management, combining the full range and flexibility of our GuestHub building block with the processing and posting of invoices and payments.

Whether different guest categories with different booking options, different event parts and ticket categories or the integration of voucher or discount codes – we configure the online platform tailored to your requirements and needs.
All common payment methods can be implemented in the registration process, and invoices are sent automatically by e-mail after booking. As with all GuestONE services, the online platform, e-mails and all documents are fully implemented in our customers’ corporate design. The hosting of our applications is done DSGVO compliant in one of the largest German data centers.

The GuestONE Backoffice - the external accounting department

We set up a separate escrow account for your project and our back office takes care of recording, documenting and tracking all incoming payments. The handling of cancellations or credit notes or a defined dunning procedure are also part of our services. All payment transactions are recorded and booked in the GuestHub backend on a daily basis.

A clear dashboard thus provides an overview of all payments and open items at any time. Since all data is centralized in GuestHub, the check-in team at the event also has access to the invoice data. Participants who have not paid their participation fees in advance can pay via EC cash terminals provided by us or via PayPal as part of the on-site accreditation process.

If events take place abroad, there are additional legal and accounting conditions to consider. Whether different VAT rates or even the taxation of participant fees abroad – here too we support you with appropriate systems and our service.
